Rental terms
These are the terms of the AlphaTrail RV Rentals camper van rental agreement, version v5 (updated October 2026). Every renter e-signs the agreement before paying, and the signed copy, with its Rental Summary of your dates, van, price and add-ons, is what governs your rental. How we handle your information is in our privacy policy. Questions: support@alphatrailplanning.com.
1. Rental Period; Possession; Return
The rental begins at the pickup date/time and ends at the return date/time in the Rental Summary. Renter must pick up and return the Camper Van at the stated locations unless Owner approves a change in writing. Any possession after the scheduled return time without an approved, paid extension is unauthorized and subject to Section 17.
2. Permitted Use and Travel Area
The Camper Van may be used only for lawful personal recreational travel within the contiguous 48 United States unless Owner gives prior written permission for another destination. The vehicle may not be used for commercial hauling, shipping, moving, rideshare, delivery, or transportation for hire.
3. Prohibited Use
- No off-road use, including unpaved trails, beaches, logging roads, or terrain unsuitable for ordinary passenger-vehicle travel, except ordinary maintained campground access roads that are safe for the vehicle.
- No racing, speed testing, towing, pushing another vehicle, roof access, overloading beyond manufacturer limits, or transporting hazardous or illegal materials.
- No operation by an unauthorized driver or by any person who is impaired, unlicensed, suspended, or otherwise ineligible under applicable law or insurance requirements.
- No smoking or vaping inside the vehicle. Pets are permitted only if approved by Owner and any applicable pet fee is listed in the Rental Summary.
- All occupants must use seating and restraints as required by law while the vehicle is moving.
4. Rental Charges; Mileage; Add-ons; Payment
Renter shall pay the charges shown in the Rental Summary and the Optional Add-Ons box. The nightly rental includes 150 miles per night. Excess mileage is charged at $0.50 per mile unless the Rental Summary states an unlimited- mileage add-on or another written mileage term. A 2.9% + $0.30 credit-card transaction surcharge may be applied only when disclosed and permitted by applicable law and payment-network rules. Renter may pay by ACH without a surcharge. The Trip Total and the $1,000 refundable security deposit are due as stated in the booking documents.
5. Security Deposit; Post-Trip Charges
The security deposit secures Renter's obligations and is not a liability limit. Owner may deduct documented amounts due under this Agreement, including damage, excess mileage, fuel, extraordinary cleaning, waste-system service, tolls, citations, towing, lost keys/equipment, late return, and authorized recovery costs. Owner will provide an itemized statement for deductions and return any remaining balance promptly after the vehicle is inspected and reasonably determinable charges are known. If a toll, citation, damage claim, or other charge is not reasonably known at return, Owner may retain a reasonable portion of the deposit or charge the secure payment method on file after providing supporting documentation, to the extent permitted by law and payment rules.
6. Vehicle Condition; Pre-Trip Inspection
Renter shall inspect the Camper Van before departure and promptly report any pre-existing damage, warning lights, missing equipment, or unsafe condition. Photos, videos, and any check-in/check-out condition report prepared by Owner or Renter are incorporated as evidence of vehicle condition. Renter is not responsible for documented pre-existing damage or ordinary wear and tear.
7. Return Condition; Fuel; Waste; Cleaning
- Return the Camper Van in substantially the same condition as received, ordinary wear and tear excepted.
- Return fuel at the same level shown at pickup unless the Rental Summary states a prepaid-fuel arrangement.
- Return interior and supplied equipment reasonably clean and remove trash and personal items.
- Empty and clean holding tanks, portable/cassette toilet systems, and similar sanitation equipment as instructed for the specific vehicle. Extraordinary cleaning or sanitation may be charged at actual reasonable cost or the disclosed fee in the Rental Summary.
8. Insurance Requirements
Renter must maintain insurance acceptable to Owner for the entire rental period and provide proof before vehicle handoff. Coverage must identify or extend to the rented vehicle, including its VIN, and must satisfy applicable liability requirements and provide physical-damage protection acceptable to Owner. Acceptable proof may include a temporary binder from the Renter's auto insurer, coverage through MBA Insurance Services, or another carrier approved by Owner. Owner may refuse to release the vehicle until coverage is verified. Renter is responsible for applicable deductibles and uninsured or excluded losses for which Renter is liable under this Agreement.
9. Renter Responsibility for Loss or Damage
Except for normal wear, documented pre-existing damage, or mechanical failure not caused by Renter, Renter is responsible for loss or damage occurring during the rental period to the extent caused by Renter, an authorized driver, a passenger, misuse, prohibited use, negligence, or breach of this Agreement. Recoverable amounts may include reasonable repair or replacement cost, towing/storage, loss of use, and other documented losses to the extent allowed by applicable law, reduced by insurance proceeds actually received for the same loss. If the Camper Van is stolen, Renter must immediately notify Owner and law enforcement and cooperate with the insurance claim.
10. Accidents; Damage; Theft; Claims
- Stop safely, obtain emergency assistance when needed, and comply with legal reporting requirements.
- Notify Owner as soon as reasonably possible and before authorizing repairs or towing, except for immediate emergency safety measures.
- Collect the location, date, time, driver information, witness information, other-party insurance information, police/report information when available, and clear photographs of all involved vehicles, objects, and damage.
- Do not admit liability on behalf of Owner. Renter and all authorized drivers shall reasonably cooperate with Owner, insurers, and claims administrators.
11. Traffic Violations; Tolls; Parking; Impound
Renter is responsible for tolls, parking charges, traffic or camera citations, impound fees, and similar charges arising from the vehicle's use during the rental period, together with any processing fee disclosed in the Rental Summary. Owner may identify the Renter or authorized driver to the applicable authority as permitted by law.
12. Tires, Road Hazards, and Roadside Assistance
Renter is responsible for tire punctures, blowouts, sidewall damage, improper inflation, curbing, and road-hazard damage occurring during the rental period, including related roadside service and consequential damage, except to the extent caused by documented pre-existing damage, ordinary wear, or a latent/mechanical defect not caused by Renter. Renter must stop driving if continued operation could worsen the damage and must contact Owner for instructions when reasonably possible.
13. Maintenance and Repairs During Trip
Renter shall promptly notify Owner of warning lights, mechanical problems, or unsafe conditions and take reasonable steps to prevent further damage. Repairs, repair costs, and repair facilities must be approved by Owner before work begins, except for emergency measures reasonably necessary to protect persons or prevent greater property damage. Owner may direct service to Pep Boys or another Owner-approved repair facility depending on the type and location of the repair. Reimbursement requires itemized receipts/invoices and reasonable documentation, including photographs when applicable. Owner decides whether a repair is maintenance-related and reimbursable, subject to applicable law.
14. Pre-Trip Vehicle Unavailability; Substitution
If the reserved Camper Van is not road-ready or becomes unavailable before pickup, Owner may offer a substitute vehicle. A substitute of equal or greater rental value/capability will be provided without an increase in the agreed nightly rental rate. If a lower-priced substitute is accepted, Owner will refund the prorated nightly-rate difference. If no reasonable substitute is available and the trip cannot proceed, Owner will refund prepaid rental charges for the unavailable period and the security deposit. Except as required by law, Owner is not responsible for consequential travel expenses caused by vehicle unavailability.
15. Reservation Cancellations
Unless your booking confirmation states a different cancellation term, refunds of rental charges depend on how many calendar days before pickup you cancel:
- 30 or more days before pickup: 100% refund.
- 8 to 29 days before pickup: 50% refund.
- 7 days or fewer before pickup: no refund.
If you paid by card, a 3% cancellation processing fee is deducted from any refund under the first two tiers. Payments made by bank transfer (ACH) are refunded without this fee.
Refunds go back to your original payment method. How long they take depends on your bank, and is usually 5-7 banking days.
The security deposit is collected in person at pickup, so none is held for a rental that does not begin. Any third-party fee we do not keep is governed by that third party's terms.
16. Reservation Changes; No-Show; Early Return
Date, vehicle, pickup/return, and itinerary changes are subject to availability and Owner approval. Any increase in price must be paid before the change becomes effective; any approved decrease will be handled as stated in writing. If a requested change materially cancels or shortens reserved dates, Owner may apply the cancellation policy to the released dates. No-shows and voluntary early returns are nonrefundable.
17. Trip Extension; Late Return
An extension request must be made by text message or email before the scheduled return time and is subject to availability. An extension becomes effective only after Owner approves it in writing and required payment is received. All terms of this Agreement continue through the approved paid extension. If the vehicle is returned late without an approved extension, Renter remains responsible for additional rental charges, reasonable late-return/recovery expenses, and documented losses caused by interference with a subsequent reservation, to the extent permitted by law.
18. Abandonment and Vehicle Recovery
The Camper Van may not be left at a location other than the agreed return location without Owner's written permission. A vehicle not timely returned and intentionally left at another location, or otherwise left for Owner to recover after Renter fails to complete the agreed return, may be treated as abandoned. Renter is responsible for actual reasonable recovery costs, including towing/transport, travel, labor, lodging, storage, and loss of use. The parties acknowledge the current minimum recovery charge as $5,000 for recovery within Georgia and $10,000 for recovery outside Georgia, to the extent those minimums are enforceable under applicable law. If a minimum is not enforceable, Renter remains responsible for actual reasonable documented recovery costs.
19. Personal Property; Keys; Equipment and Add-ons
Owner is not responsible for loss, theft, or damage to personal property left in or around the Camper Van except to the extent required by law. Renter is responsible for the return of keys, accessories, camping equipment, add-ons, and other listed inventory in substantially the same condition as received, ordinary wear excepted, and for reasonable replacement or repair costs for missing or damaged items caused by Renter or the rental party.
20. Renter Assumption of Risk; Release; Indemnity
To the fullest extent permitted by law, Renter assumes the ordinary risks associated with possession and operation of the Camper Van and releases Owner from claims arising from Renter's or an authorized driver's use of the vehicle, except to the extent caused by Owner's gross negligence, willful misconduct, or liability that cannot lawfully be waived. Renter shall indemnify and hold Owner harmless from third-party claims, fines, penalties, damages, and expenses arising from Renter's or an authorized driver's negligence, prohibited use, violation of law, or breach of this Agreement, except to the extent caused by Owner as described above.
21. Default; Owner's Right to Recover Vehicle
Owner may terminate the rental and recover the Camper Van if Renter materially breaches this Agreement, allows unauthorized operation, provides materially false information, uses the vehicle unlawfully or unsafely, fails to maintain required insurance, or refuses to return the vehicle when required. Recovery will be performed only as permitted by law. Renter is responsible for reasonable recovery expenses caused by the breach.
22. Notices and Written Approvals
Notices, approvals, and requests under this Agreement may be sent by email or text message using the contact information exchanged by the parties. A written approval applies only to the specific request approved and does not waive other terms.
23. Governing Law and Venue
Georgia law governs this Agreement, without regard to conflict-of-law rules. Any court proceeding arising from this Agreement shall be brought in a court of competent jurisdiction in Georgia, except where applicable law requires a different forum.
24. Entire Agreement; Amendments; Severability; No Waiver
This Agreement, the Rental Summary, and incorporated signed/written addenda contain the entire agreement regarding the rental and supersede prior oral statements about the same subject. Changes must be in writing and agreed by both parties; approved trip extensions may be documented by text or email as provided above. If any provision is held unenforceable, the remaining provisions remain in effect to the fullest extent permitted by law. A party's delay or failure to enforce a provision is not a waiver of future enforcement.
25. Electronic Signatures; Counterparts
Physical and electronic signatures and electronic copies of this Agreement have the same effect as originals. The parties consent to conducting this transaction electronically and may sign separate counterparts that together form one agreement.
