Privacy policy

AlphaTrail RV Rentals rents camper vans from 1486 Terrell Mill Rd, Marietta, GA 30067. This policy covers this booking site, our website chat, and the emails and text messages we send about your trip. Contact us any time at support@alphatrailplanning.com.

• Contact details: your name, email address and phone number, and your home address.
• Trip details: the van, dates, add-ons and times you choose, and any delivery or collection address.
• Driver and insurance details, which the rental agreement requires: driver's license number, state and expiration, a photo of your license, your insurance carrier and policy number, a copy of your proof of insurance, and the same license details for any authorized drivers.
• Emergency contact: a name and phone number.
• Chat messages: what you type into the website chat, plus the name, email and phone you give before chatting.
• Technical information: your IP address, used only to limit repeated requests and prevent abuse.

We never see or store your full card or bank account number. Payments are handled by Stripe, and we only receive confirmation that a payment succeeded and which payment type you used.

• To quote, book and manage your rental, and to prepare your rental agreement.
• To check that every driver is licensed and the van is insured before handoff.
• To contact you about your trip: confirmations, pickup instructions, payment and refund notices, and replies to your questions.
• To recover costs the rental agreement allows, such as excess mileage, tolls, citations or damage.
• To answer your questions in the website chat.

We do not sell your information.

Only the service providers that run the business, for the purposes above:

• Stripe, to take payments and process refunds.
• HighLevel, our customer-management system, which sends our emails and text messages and handles e-signature of the rental agreement.
• Supabase, which stores booking records and your uploaded documents.
• Vercel, which hosts this site.
• Anthropic, whose AI model powers the website chat and reads your chat messages to reply.

We also share information when the law requires it, or with insurers, claims administrators or authorities after an accident, theft, citation or damage claim involving the van, as the rental agreement describes. Other rental platforms we list on only receive the dates a van is booked, never your details.

If you give us your mobile number, we may text you about your booking, such as pickup reminders and trip updates. Message frequency varies and message and data rates may apply. Reply STOP to opt out or HELP for help. Your mobile number and your consent to receive texts are never shared with or sold to third parties or affiliates for their marketing.

We keep booking records, including payment history, for as long as needed for tax and accounting. Your license and insurance documents are kept only as long as needed for your rental and any charges or claims that follow it. You can ask us to delete them sooner once your trip and any related charges are settled.

Email support@alphatrailplanning.com to see the information we hold about you, correct it, or ask us to delete it. We may need to keep some records where the law requires it or a claim is still open. You can unsubscribe from marketing emails using the link in any of them.

License and insurance documents are stored privately and are only visible to us. Your booking page is reached through a private link sent to you, so treat that link like a password and don't share it.
